IntegraMSP Monthly Newsletter — November 2025

🍂 A Thanksgiving Note from the President

This season, we’re taking a beat to say something we don’t say often enough: Thank you. We’re deeply grateful for the trust you place in us every day. Whether we’re resolving ticket #1,001 or guiding your digital roadmap, our team shows up because you’ve shown us that real partnerships still matter in business. You’ve let us into your organizations, trusted us with your people and platforms — and we never take that lightly.

We’re also beyond thankful that Dan, our Founder and CEO, is back in full form after a challenging health journey. His leadership, calm under pressure, and tech war-room genius have been missed — and we’re thrilled to see him back where he belongs: helping our clients navigate the chaos with precision and clarity. At IntegraMSP, we talk a lot about trust and resilience — and this year, both were on full display. Thank you for being part of it. - Jennifer Gilligan, President - IntegraMSP

Tank Builders, Inc. has been with us a long time, and honestly? They’re just great people to work with. When something comes up, it never feels one-sided — it’s always a true back-and-forth. They bring their ideas, we bring ours, and we figure things out together.

Working with President Kent Kromer and his team feels easy in the best way. There’s trust, there’s accountability, and there’s zero drama. We know we’re on the same page, and that kind of working relationship makes everything smoother. It’s the kind of partnership that reminds us why we love doing what we do.

We give thanks for great partnerships like Tank Builders and, honestly, cannot say it better than Kent - here it is in his own words.

"It’s always been a true pleasure partnering with IntegraMSP. Your team has consistently demonstrated professionalism, responsiveness, and a genuine commitment to protecting and supporting our business.

One instance that really stands out was when we were targeted by cybercriminals impersonating our company in a successful attempt to divert a large customer payment. The situation quickly escalated to the point of FBI involvement, but Dan and the IntegraMSP team immediately stepped in, worked directly with investigators, and ensured we were fully compliant and protected. Knowing your team was handling the technical side of such a serious issue allowed me to rest easy and focus on leading our business.

That level of expertise, trust, and care is exactly why we continue to value our partnership with IntegraMSP."

This Month’s Big Topics — November Article Round-Up

When ChatGPT Got It Wrong

AI doesn’t make mistakes like humans do — it makes confident mistakes. This article walks through a real-world scenario where ChatGPT gave answers that looked right but were factually wrong. That’s a dangerous combo for businesses relying on AI to draft emails, create reports, or answer client questions. Not only that - it fooled President, Jennifer Gilligan, and taught her AND the team a valuable lesson.

We break down how AI tools can hallucinate data, misunderstand nuance, or confidently fabricate details — especially in regulated or highly technical industries. Bottom line: AI is a powerful tool, but it’s not a truth engine. Businesses need human oversight, verification steps, and clear AI guardrails to prevent embarrassing (or costly) errors.

Deloitte’s AI Report: Failure to Launch

When one of the world’s largest consulting firms submits an AI-generated government report — riddled with fake citations, hallucinated facts, and basic analysis errors — it’s not just an oops moment. It’s a warning. Deloitte got caught doing exactly that for the Australian government, and the fallout was swift: credibility damaged, public trust shaken, and a partial refund issued. The kicker? They billed for expert work and passed off ChatGPT content without proper oversight.

This article dives into what small businesses can learn from Deloitte’s mistake. The truth is, AI is a tool — not a truth machine. Whether you're using it to draft a blog, summarize research, or write a proposal, it must be vetted. If Deloitte, with its resources and compliance teams, can get burned by AI shortcuts, small businesses are even more at risk. The message here is loud and clear: Use AI to extend your brain, not replace it. Fact-check everything. Validate before you publish. And never trade your credibility for speed.

Google Gemma AI: The Claims Didn’t Add Up

Google recently pulled its new Gemma AI model after it generated something that wasn’t just wrong — it was reckless. When prompted with a politically charged question, the AI didn’t refuse. It didn’t offer a vague disclaimer. Instead, it confidently produced a completely fabricated, highly defamatory story about U.S. Senator Marsha Blackburn — including names, events, and a storyline that sounded legitimate… but wasn’t. None of it was real.

This wasn’t a minor hallucination or a misplaced stat. This was a career-damaging, headline-level lie — created and delivered by a publicly available AI tool. And that’s the real danger. These systems don’t just get facts wrong. They make falsehoods sound convincing. If Google can launch something that dangerously confident, the message is clear: you can’t treat AI like it’s a source of truth. It’s a tool — and it’s your job to verify what it creates before anyone else sees it. Your brand, your credibility, your liability — they’re all on the line.

AI Web Traffic Is Up — But What Does It Mean?

All that buzz about AI driving floods of website traffic? Turns out, that’s not how things are playing out. Tools like ChatGPT and Google Gemini are mentioning businesses in their responses, but users aren’t clicking through — they’re making decisions based on what shows up in the answer box. This is what’s known as “zero-click behavior,” and it’s becoming the new normal. So if you’ve been wondering why traffic isn’t spiking even when your name’s out there, you’re not doing anything wrong — the way people find and evaluate businesses is changing.

Smart businesses are adjusting by focusing less on clicks and more on visibility in the places AI tools pull from — like Google Reviews, Reddit, LinkedIn, YouTube, and industry directories. It's not about chasing rankings anymore; it's about being present, being credible, and being trusted where it counts. The new metric isn’t traffic — it’s trust. And at IntegraMSP, we’re helping clients shift with that change so they stay visible and valuable, even when no one’s clicking.

AI in Construction: Owners, This One’s for You

AI is showing up in construction — but not in the “robots replacing workers” way people keep talking about. It’s already baked into tools you’re using (or considering), like Procore and Autodesk. From helping flag bad estimates to improving schedules and spotting jobsite risks, AI is becoming the quiet co-pilot behind smarter bids, fewer surprises, and better decisions. You don’t need to become a tech expert — you just need to know what’s already working for you behind the scenes.

This isn’t about buying some new flashy tool. It’s about realizing the platforms you already rely on may have AI built in — and your competitors might be using it better. Whether it's reducing material waste, tightening labor forecasts, or flagging safety issues in real time, AI is moving fast in construction. The companies that pay attention without getting overwhelmed? They're the ones staying ahead without having to play catch-up later.

The Art of Security

If the Louvre—home to some of the world’s most priceless art—can get hit by a $102 million jewel heist due to a weak password (“Louvre,” seriously), then it’s a clear reminder that basic cybersecurity can’t be overlooked. The museum had cameras and alarms, but still missed the mark because it lacked modern safeguards and smart policies. It’s not about having tech; it’s about using it wisely and consistently. Weak passwords and underinvestment aren’t just oversights — they’re invitations.

For business owners, the lesson is simple: security isn’t a set-it-and-forget-it task. It’s a continuous investment. From enforcing strong passwords and enabling multi-factor authentication to updating your systems and training your team, the small daily habits matter most. You don’t need Louvre-level resources to protect what matters — just a proactive mindset and a commitment to keeping your digital doors locked. Security isn’t art — it’s discipline. Let’s treat it that way.

Your Tools Aren't Broken - You Just Haven't Learned Them Yet

Most construction businesses are already using solid tools—estimating software, time tracking, scheduling apps—but if those systems aren’t talking to each other, they’re quietly creating chaos. Missed updates, duplicate data entry, and disconnected teams aren’t signs of bad employees—they’re signs that your tech stack isn’t working together. The problem usually isn’t what tools you’re using; it’s how (or whether) they integrate.

The fix often isn’t buying something new—it’s making better use of what you’ve got. Many platforms have built-in features to sync data between departments, but they’re buried under unclear menus or ignored because no one has time to dig for them. Connecting your tools—from estimating to payroll to scheduling—can eliminate hours of manual work and headaches. Sometimes, the smartest move is just turning on what’s already there.

How One Business Reclaimed 500+ Hours with Automation

The construction industry is starting to see real results from AI — not just headlines. According to Bluebeam’s latest report, early adopters are saving hundreds of hours on tasks like scheduling, document analysis, and plan reviews. These gains aren’t coming from flashy tools, but from AI quietly working in the background of platforms teams already use. It’s a sign that the firms seeing the most impact aren’t necessarily the most tech-forward — they’re the best prepared.

But the real story isn’t just about automation. It’s about what has to be in place behind the scenes for those time savings to happen. Stable systems, secure data, and connected platforms are what make AI-driven tools work as intended. Without them, that promised efficiency can quickly turn into frustration. This article breaks down where AI is actually helping in construction today — and what it takes to get the most out of it.

Smart Tools for Manufacturers

AI might be everywhere in the headlines, but for small manufacturers, the real question isn’t “Should we adopt AI?” — it’s “Are our current systems ready for what’s already changing?” A recent MIT Sloan report found that many companies see productivity drop before it improves with AI adoption — especially if their digital foundation isn’t solid. That hesitation you’re feeling? It’s valid. New tools can cause disruption if your systems can’t support them.

The good news is, platforms like Autodesk — tools many manufacturers already use — are quietly adding smart features that automate drawing generation, offer design suggestions, and streamline production planning. You don’t need to go shopping for something new. The opportunity is in making sure your environment is stable, secure, and ready to take full advantage of the updates already happening inside your existing tools.

In Case You Missed It: A Busy Month for Outages

In case your screens froze and your inbox went eerily quiet, here’s what went down:

  • October 20: AWS had a major service disruption affecting compute, storage, and cloud-based applications — especially in manufacturing and logistics platforms relying on EC2 and S3.
  • October 29: Microsoft Azure experienced a widespread outage that disrupted hosted services, authentication, and app performance across multiple regions.
  • November 18: Cloudflare followed suit, causing global DNS slowdowns and widespread issues accessing web apps and websites.

Three major providers, all in less than a month — it’s a reminder that even the biggest platforms break.

We’ve got two reminders for our clients:

  1. Check our social channels first for real-time updates — we post there before email chains start flying.
  2. Call us if something feels off — even if it’s “just a little slow.” These outages aren’t always obvious, and we’re already monitoring in the background.

For those that are super curious for the post-analysis, here is a good article about what happened
